Hi Celenia Inez, thanks for sharing your story with us. To start, maybe you can tell our readers some of your backstory.
My journey has always been rooted in healthcare. For more than 26 years, I’ve had the privilege of working in a variety of healthcare settings-from hospitals and specialty practices to private medical offices-serving in both clinical and administrative roles. Those experiences gave me a firsthand understanding of what it takes to care for patients while also managing the many behind-the-scenes responsibilities that keep a practice running.
As healthcare evolved, I recognized a growing need among independent providers. Many physicians were spending valuable time buried in administrative work instead of focusing on their patients. I saw an opportunity to bridge that gap by offering experienced, healthcare-specific virtual support.

Would you say it’s been a smooth road, and if not what are some of the biggest challenges you’ve faced along the way?
It definitely hasn’t been a smooth road, but I think that’s true for most entrepreneurs. Building a business from the ground up comes with a lot of uncertainty, and there were plenty of moments where I had to learn through experience rather than having all the answers.
One of the biggest challenges was transitioning from being a healthcare professional to becoming a business owner. I knew healthcare inside and out, but running a business required me to learn marketing, sales, finance, contracts, hiring, leadership, and countless other skills that weren’t part of my previous roles. It pushed me well outside my comfort zone.
Another challenge has been educating people about what we do. Healthcare virtual support is still a relatively new concept for many independent practices. Often, providers don’t realize how much time they’re spending on administrative work until they experience what it’s feels like to have an experienced healthcare team supporting them. CIVA is a healthcare operations company built exclusively for independent healthcare practices. We partner with Direct Primary Care (DPC), Functional Medicine, Concierge Medicine, Integrative Medicine, and Direct Specialty Care practices across the United States, providing experienced operational support that allows providers to focus on what matters most-their patients.
Unlike many virtual assistant companies that serve a variety of industries, healthcare is all we do. Every member of our team has a healthcare background, giving us a deep understanding of medical workflows, patient communication, HIPAA compliance, and the day-to-day challenges of running an independent practice. Because of that, we don’t simply complete tasks-we become a trusted extension of our clients’ teams.
Our services are designed to meet practices wherever they need support. We offer Medical Assistant-led administrative support, LPN-led clinical workflow support, Patient Care Coordinators, Practice Management, and project-based services tailored to the unique needs of each practice. Our team assists with patient communication, scheduling, referrals, prior authorizations, lab and imaging coordination, inbox management, workflow development, EMR implementation and optimization, SOP creation, operational improvements, and other behind-the-scenes projects that help practices run more efficiently. Because no two practices operate the same way, we customize our support to fit each provider’s workflows, goals, and style of care.
What I’m most proud of is the relationships we’ve built with our clients. Many providers come to us feeling overwhelmed, trying to manage every aspect of their practice on their own. Watching them become more organized, regain their work-life balance, and grow their practices with confidence is incredibly rewarding.
At CIVA, our mission goes beyond administrative support. We believe independent healthcare is worth preserving, and we’re passionate about helping physicians build sustainable, patient-centered practices. When our clients succeed, their patients benefit too-and that’s the impact that drives everything we do.
What are your plans for the future?
The future is incredibly exciting for CIVA. While we’ll continue supporting independent healthcare practices with administrative and operational services, one of my biggest goals is to expand our team and continue building specialized healthcare support that grows alongside our clients.
We’re excited to continue expanding our LPN-led clinical workflow support, allowing practices to receive both administrative and clinical operational assistance from one trusted partner. As healthcare continues to evolve, I want CIVA to be known as a comprehensive healthcare operations company that provides scalable support for practices at every stage of growth.
I’m also focused on strengthening our internal systems, investing in our team, and creating opportunities for experienced healthcare professionals who want meaningful remote careers while continuing to make a difference in patient care.
